In the era of digital transformation, virtual whiteboards have become a key collaboration tool. They let teams work on tasks in real time, share ideas and visualize projects. However, the choice between cloud solutions and on-premise whiteboards is becoming increasingly important, especially for organizations with special information security requirements.

Cloud whiteboards (SaaS) are hosted on the vendor's servers, and the vendor is responsible for everything from support to updates. You access these services over the internet.
On-premise solutions, unlike cloud ones, are deployed within the customer's IT infrastructure — on its own servers or in a corporate data center. This gives full control over the system but requires more resources for installation and maintenance.
It's a virtual collaboration whiteboard deployed on the customer's side. It offers the same features as cloud versions: sticky notes, diagrams, boards and co-editing. But the data stays exclusively within the company's local network.
The software is installed on the customer's servers;
Access is managed through internal systems;
Data exchange never leaves the company's infrastructure.
Government organizations;
Banks and the fintech sector;
Companies with critical IT infrastructure;
Enterprises operating in isolated network environments or under regulatory requirements.
Choosing on-premise hosting gives companies:
Full control over data — nothing is shared with third-party providers.
Compliance with internal security policies — it's easy to meet corporate and industry standards.
Integration with secure corporate infrastructure — including VPN, LDAP and local storage.
Flexible configuration — you can customize the interface, modules and logic to fit your business needs.
Despite the benefits, an on-premise version requires a more serious approach to operations:
Infrastructure resources — you need your own servers and specialists for deployment and support.
Responsibility for updates and security — all administration is on the customer.
Cost — licenses, support and implementation cost more than cloud alternatives.
As requirements for protecting personal data and information become stricter, many companies are moving from cloud solutions to on-premise ones. This is relevant for countries with strict regulation and for industries that are sensitive to data leaks. In addition, a growing number of companies want to avoid depending on external services.
Some well-known whiteboards offer on-premise deployment:
Miro Enterprise — offers an on-premise solution on request, aimed at large companies and organizations with advanced security policies.
Conceptboard On-Premises — an enterprise whiteboard with full data localization, single sign-on support and compliance with ISO standards.
OpenBoard — a free, open-source whiteboard suitable for educational institutions and nonprofits.
Nextcloud + whiteboards via plugins — a solution for those who already use Nextcloud and want to integrate it into a secure cloud environment.
flip — an interactive online whiteboard with on-premise deployment support, focused on collaboration in corporate and educational settings. Compliant with Russian Federal Law No. 152-FZ on personal data and ISO standards.
On-premise virtual whiteboards are the ideal choice for companies for which data security, compliance with internal regulations and integration with secure infrastructure are critical. Yes, they cost more and require resources, but full autonomy, flexibility and control over the system are strong arguments in favor of on-premise hosting.
